Introduction
This Privacy Policy explains how EmpowerEd Nexus (M.P.W.E.R.E.D.N) SARL handles information when you use Nexus Passport, Nexus Learn OS, EduBox workflows, the marketplace, AI Tutor, certificates, analytics, school pilot applications, and related services (together, the “Service”). We aim to be clear about what we collect, why we collect it, and how you can exercise control over your data.
Who we are
EmpowerEd Nexus (M.P.W.E.R.E.D.N) SARL, located at Nkolbisson, Yaoundé, Cameroon (NIU M042517719598B, RCCM YAO/2025/B/962), is the data controller for personal information processed through Nexus Passport, except where a school, NGO, agency, or organization acts as controller for its own users (for example, learners or staff invited to an institutional workspace).
Scope of this policy
This policy covers our public website, signed-in product experience, EduBox offline workflows that sync back to our platform, marketplace transactions, support communications, and pilot or partnership engagements with schools and organizations. It does not cover third-party sites or services we link to.
Information we collect
We collect information you give us, information generated as you use the Service, and limited information from third parties such as our payment provider.
Account information
Name, email address, password (stored as a hash), preferred language, role (learner, teacher, school admin, NGO, agency, partner), and profile attributes you choose to add such as a display photo or short bio.
Organization and school information
For institutional accounts: organization name, type (school, NGO, orphanage, training center, agency), location, contact person, verification documents you choose to upload, and roster information you provide for staff or learners.
Learning activity and LMS data
Courses created or enrolled in, lesson progress, quiz responses and scores, assignment submissions, gradebook entries, certificate records, attendance markers, and learner notes.
EduBox sync and offline activity data
When EduBox devices sync back to the platform, we receive learning activity recorded offline (course progress, quiz attempts, content access events), device identifiers, sync timestamps, content package versions, and basic diagnostic information needed to keep deployments healthy.
Marketplace and purchase data
Items viewed, downloaded, or purchased from the Nexus Passport marketplace, seller information for vendor accounts, content metadata, and basic transaction references. We do not store full payment card numbers — see “Payment data and Paddle” below.
Payment data and Paddle
EmpowerEd Nexus does not intentionally store full card details. Payments for subscriptions, one-time purchases, pilot deposits, and consultations are processed by Paddle (or another active payment provider where applicable). Paddle acts as Merchant of Record and collects the information needed to process the payment. From Paddle we receive a transaction reference, status, product, amount, currency, country of purchase for tax handling, and subscription lifecycle events. Paddle’s own privacy notice governs the information it collects directly from you.
AI Tutor and AI-generated content data
When you use AI Tutor, lesson generators, quiz builders, or other AI-assisted features, we process the prompts and context you provide, the model responses, and metadata such as feature, model, token usage, and timestamps. AI Tutor interactions may be processed to provide learning assistance, improve recommendations, and maintain safety. AI-generated content is informational and educational; health-related content, in particular, is not medical advice and must not be used as a substitute for qualified professional care.
Support and communication data
Messages you send through our contact form, WhatsApp, or email; pilot application details; and notes our team records when helping you.
Device, log, and usage data
Device type, operating system, browser, IP address, approximate location derived from IP, referring URLs, pages viewed, feature usage, error reports, and session diagnostics needed to operate and secure the Service.
How we use information
- Operate, maintain, and improve Nexus Passport, Nexus Learn OS, and EduBox.
- Provide LMS functionality, certificates, AI tutoring, and marketplace access.
- Process payments, subscriptions, refunds, and pilot engagements through Paddle.
- Personalize learning recommendations and surface relevant opportunities.
- Communicate transactional, security, and service updates.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Generate aggregated and de-identified analytics for product, partner, and impact reporting.
- Comply with legal obligations and enforce our Terms and Acceptable Use Policy.
Legal bases or reasons for processing
Where a legal basis is required, we rely on: (a) performance of a contract with you or your institution; (b) our legitimate interests in operating, securing, and improving the Service; (c) your consent, where applicable (for example, optional cookies or marketing); and (d) compliance with legal obligations.
How we share information
We share information with the following categories of recipients to operate the Service.
Paddle and payment processing
For purchases processed through Paddle, Paddle acts as Merchant of Record. Paddle handles checkout, payment processing, applicable sales tax/VAT handling, receipts, chargebacks, and certain billing communications. Paddle may appear on customer receipts, checkout pages, bank statements, or billing emails. EmpowerEd Nexus remains responsible for delivering the Nexus Passport product and services you purchased.
Schools, organizations, teachers, and parents
When a learner is part of a school, NGO, or organization workspace, the relevant administrators and instructors may see the learner’s activity in that workspace (such as enrollment, progress, grades, and certificates) so they can deliver instruction, issue certificates, and report outcomes. Where applicable, parents or guardians may receive progress information through the institution.
Service providers
We use vetted service providers for hosting, database, authentication, email delivery, analytics, error monitoring, AI model providers, and customer support tooling. They process information only on our instructions and under appropriate confidentiality and security obligations.
Legal and safety disclosures
We may share information when we believe in good faith that disclosure is necessary to comply with law, respond to valid legal process, protect the rights, property, or safety of EmpowerEd Nexus, our users, or the public, or investigate suspected fraud or abuse.
Data retention
We keep personal information only as long as needed to provide the Service, comply with legal and accounting obligations, resolve disputes, and enforce our agreements. Education records may be retained where required for certificates, audit, reporting, legal compliance, or institutional records, even after an individual account is closed.
User rights and choices
Depending on where you live, you may have rights to access, correct, update, export, restrict, object to, or delete personal information we hold about you, and to withdraw consent where processing is based on consent. You can exercise these rights from your account settings or by contacting us.
Account deletion and data export
You can request account deletion or data export from Settings, or by emailing us. We will action requests in line with applicable law and our retention rules. Some records (such as billing or certificate records) may need to be retained for legal, accounting, or institutional purposes after deletion.
Children and student data
Nexus Passport is designed to be used in school and family contexts. When children use the Service through a school or guardian, the relevant school, organization, or guardian is responsible for any required consents. We process student data only to provide the Service and its educational outcomes, and we do not sell student data.
International users
Nexus Passport is operated from Cameroon and used internationally. Information may be processed in countries other than your own, including by service providers and Paddle. Where required, we use appropriate safeguards for cross-border transfers.
Security measures
We use technical and organizational safeguards designed to protect information, including encryption in transit, access controls, role-based permissions, audit logging, and infrastructure that follows recognized security practices. No system is perfectly secure; please use a strong, unique password and tell us about any suspected account compromise.
Cookies and similar technologies
We use cookies and similar technologies for authentication, security, preferences, analytics, and product improvement. You can control cookies through your browser. Some features may not function correctly if essential cookies are blocked.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, notify users through the Service. Your continued use of Nexus Passport after a change becomes effective constitutes acceptance of the updated policy.
